What do we mean by activation? Well, activation refers to methods your business can use to help improve performance. Some very small changes can make a big difference for your organization. If you haven’t started planning around business activation yet, the time is now to kick it into gear. Today’s blog is part one of a four part series on activation. Part one, known as “Analyze the Data” will be a discussion around evaluating the current state of your data and identifying any disparity that might be present. We’ll cover off strategies to help close any gaps we may find in our next blog - for now let’s stick to the basics. If you are a Total e Integrated customer, you have access to a tool known as OLAP Cubes – let’s quickly talk about the difference between typical reports and OLAP Cubes. Most systems today offer reports that act very similar to a typical spreadsheet. Data is stored within columns and rows (i.e. spreadsheets) and can be viewed as needed. In this situation, attempting to truly be an “activator” is difficult – if your system holds hundreds of thousands of transactions, calculating balances and statistics on the spot would take forever. Furthermore, drilling into your data is either manually done via export to Excel or can’t be done at all if your system only provides a PDF of the report. This is where having an OLAP Cube feature is key, the data is pre-calculated daily allowing you to instantly slice and dice your data into just about anything you’d like. Even better, OLAP Cubes go a step beyond typical spreadsheet reports. Typical reports are only two dimensional – for example, if you had a report that generated profits by department per month, and wanted to go further and look at profits by week, you’d have to manually manipulate the data or ask your provider to build such a report. OLAP Cubes are three dimensional, in our example above you could simply add a week date range and the system would instantly report on profits by department and by week. You can take this even further and look at profits by department, week, and gender. The possibilities are endless and generating the information takes seconds. Now that we understand how OLAP Cubes work, it will be much easier for you to analyze the current state of your data. If you are a Total e Integrated customer, utilize your OLAP Cubes feature – you will be able to generate data on your tee sheet, retail, and food & beverage instantly. If you have upgraded your Total e Integrated system to Version 10, you will also be able to generate OLAP Cubes on events, membership and lodging as well. Open OLAP Cubes, if you notice key data is not being collected or organization goals are being missed its key that you build a strategy to “close the gap”. You could be collecting information on meal periods, labor costs, member type and more. We’ll cover off strategies along with some of the data you could be collecting in part two of the series.
